Office Policies


How are Appointments Scheduled?
Children 7 years of age and younger should be seen in the morning before they have had a long day and so we are able to take the time needed to ensure your child’s comfort. Children with an extensive treatment plan should be seen in the morning for the same reason. Orthodontic maintenance appointments are scheduled before and after school for your convenience. Missing school can be kept to a minimum when regular dental care is continued.


As we make every effort to find an appointment time that fits your schedule with ours, please remember appointed times are reserved exclusively for each patient.  Because of this we ask for 48 hours notice in advance of your scheduled appointment time if you are unable to keep your appointment.  We realize that unexpected things can happen, but we ask for your assistance in this regard.


Do I Stay with My Child During the Visit?
Yes, we ask that you stay with us through your child’s dental visit.  Our staff is experienced in helping children overcome anxiety however; your presence will be comforting.  It is also a great way to provide you with information regarding your child’s dental condition and tolerance, and you will be able to ask your questions as they come to you.  We understand that you are your child’s best advocate.


What About Finances?
Payment for professional services is due the day of treatment. We accept Cash, Checks, Debit cards, Visa. Discover and MasterCard. We are also able to offer third party billing through Care Credit, the leader in patient/client financing. This way, your child will receive treatment he/she needs and you have means to provide the finances.  For more information you can reach them 24-hours a day at 1-800-365-8295 or you can visit them online at www.carecredit.com.  The application process is quick and easy, usually requiring no more than five minutes of your time.


The parent or guardian who brings the child for his/her initial visit is responsible for payment independent of what a divorce document may state.  Reimbursement must be made between divorced parents.  We will not intervene.


Our Office Policy Regarding Dental Insurance
Understanding dental insurance can be quite challenging.  Our goal is to assist you in maximizing your benefit.  We care for many patients employed by many different companies.  Each company pays an insurance premium that fits the company budget. Each plan is slightly different in it’s covered services.  We encourage you to become familiar with your own plan.
Our services to you include:
  1. Filing your claim within 24 hours of your visit and requesting payment of your benefit in our office.
  2. Electronically filing your insurance for quick turnaround.
  3. Refiling your claim a second time within 45 days if necessary.
  4. Researching your dental insurance plan by calling the insurance company; advising you of the benefits available to you.
  5. Following the American Dental Association guidelines for coding procedures and filing insurance. 
Our expectations of you as the owner of the policy:
  1. Payment of fees not covered by your insurance plan the day service is provided.
  2. Understanding that dental and medical insurance policies belong to you and we have no leverage to obtain payment from your insurance carrier.  We can o nly submit the claim.
  3. Realizing that dental insurance policies contain restrictions on the amount carriers are willing to pay for certain procedures or exclude some procedures based on length on time in the policy. These restrictions (called the Usual and Customary Rates) are dictated by the premium your company is willing to pay for your coverage, not by our fees or the treatment Dr. Tawadros recommends.
  4. Taking responsibility for payment to our office if the insurance company does not pay our office within 60 days.
  5. Keeping our office informed of any changes in your employment or coverage.
